Housecall Pro AI: what the platform does on its own, and what an agent adds

Guide · Software and integrationsMcGuire Flanigan · Updated November 3, 2026 · 9 min read

An AI agent for Housecall Pro connects through Housecall Pro's public API with an admin-generated API key (only on the Max plan) and its signed webhooks, watches for events like unworked leads, stalled estimates and unpaid invoices, and drafts the next step for a person to approve. Housecall Pro's own AI Team, CSR AI add-on and Pipeline automations already cover answering, reports and fixed follow-up cadences; an agent adds judgment, other systems and cross-system reporting.

Housecall Pro AI comes in two layers. Housecall Pro's built-in AI Team answers calls, writes marketing copy and builds reports inside your account. An AI agent for Housecall Pro connects through its public API and webhooks (Max plan only), watches for uncalled leads, quiet estimates and open invoices, and drafts the next step for a person to approve.

This guide covers what Housecall Pro already does as of November 2026, where those tools stop, exactly how an agent connects, and what should stay with your team.

What Housecall Pro already does with AI and automations

Start here. Some owners pay for an "AI agent" that duplicates a setting they already have.

The AI Team. Housecall Pro's help center lists five AI Teammates: CSR AI, Analyst AI, Coach AI, Marketing AI and Help AI. Analyst AI builds custom reports from your business data, Coach AI gives growth and hiring guidance, Marketing AI drafts emails, service descriptions and review responses (it powers "Write it for Me"), and Help AI answers questions about using the software. The same article says these are included with your account and turned on by default, and that you can't switch individual Teammates off. Housecall Pro's AI Team page says Analyst AI answers questions like "How's revenue this month?"

CSR AI. This is the receptionist. Housecall Pro's CSR AI overview says it answers customer calls, summarizes them and notifies you after each one, handles website chat, and can forward a call, hand it to an HCP Assist agent or take notes when a caller needs more than it can do. As of November 2026 that page still lists texting and Spanish conversations as coming soon, and if CSR AI can't book a job it texts you to call the customer back. Website chat is included in every plan; 24/7 call answering is a paid add-on. Neither the help article nor the pricing page shows the add-on price, so you'll need to ask Housecall Pro sales.

Pipeline follow-ups. Pipeline is a board of your leads, estimates and jobs with built-in automations. According to Housecall Pro's Pipeline guide, an estimate that sits in Sent for a set number of days is resent automatically and moves to First Follow-Up, then Second, then Third, and after the last step it's marked declined. You can edit the timing and message text. There are also job automations: unscheduled jobs get up to three scheduling attempts by text and email, and paid jobs archive themselves.

Invoice reminders and QuickBooks. The invoicing page says Housecall Pro can auto-send overdue invoice reminders by email or text on a schedule you set, exclude specific customers, and sync invoices and payments to QuickBooks.

Plans. As of November 2026, Housecall Pro's pricing page lists Basic at $59 a month, Essentials at $149 and Max at $299 (billed annually, with higher month-to-month prices). It says AI Team members come with every plan, and that full API access belongs to Max.

If three fixed estimate follow-ups, automatic invoice reminders and CSR AI cover your problem, turn those on first. They cost less than anything we'd build.

Where the built-in tools stop

Housecall Pro AI automation today is mostly rules: same message, same timing, every estimate. That works for a drain cleaning. It's not how a good comfort advisor treats a two-system replacement estimate for a customer who asked about financing and wants a second quote.

The gaps we see most often:

  • No judgment on follow-up. Three resends, then the estimate is declined. Nobody decides which quiet estimates deserve a personal call from the owner this week. Pipeline's guide also notes that estimates older than the current cadence window aren't picked up and have to be resent by hand.
  • Leads with no clock. A lead from your website or an ad can sit while the office is on the phone. Housecall Pro tracks the lead; it doesn't tell anyone it has been sitting for three hours.
  • Completed jobs with no invoice. A tech finishes Friday afternoon and heads home. Nothing flags the job that was completed but never invoiced or collected.
  • Phones and money in other places. If you keep your own phone system instead of CSR AI, missed calls never become leads unless someone types them in. Payments may live in QuickBooks, ad spend in Google, and nobody compares them daily.
  • One view for the owner. Analyst AI reports on Housecall Pro data. It doesn't combine your call log, ad accounts and books into one morning message.

What an AI agent does inside Housecall Pro

Here is what three common agents watch, read, draft and write back. These are illustrations of the pattern, not a client story.

Agent Starts when Reads from Housecall Pro Drafts Person approves Writes back
Lead response watch A lead.created event arrives and no one has acted on it within your window Lead, customer, address, lead source, notes A callback reminder and a short first text with the stated issue attached CSR sends or calls A note on the lead
Estimate recovery An estimate was sent and no option has been approved after a set number of days Estimate options, line items, customer history, past jobs A personal follow-up that names the actual equipment and scope, ranked by value Salesperson or owner A note on the estimate
Completed, not collected A job.completed event arrives and the outstanding balance is still above zero after your terms Job total, outstanding balance, invoice events, job notes A reminder or a flag for the office if the notes show a callback or dispute Office manager A note or tag on the job

A fourth agent sends the owner one morning message: new leads, estimates sent and approved, jobs completed, money still open, and anything that crossed a threshold overnight. That one reads but never writes.

The rule we build to is simple: the agent drafts, a person sends. Prices, discounts, warranty language and anything that moves money stay with a person.

How an agent connects to Housecall Pro

There's no back door. Every legitimate AI integration with Housecall Pro uses the same public API documented at docs.housecallpro.com.

  1. Plan. Housecall Pro's API overview says plainly that the API is available only on the Max plan, and webhooks are Max-only too. If you're on Basic or Essentials, a real integration starts with an upgrade.
  2. Authorization. Housecall Pro's authentication docs describe two methods. A business (or a developer working for one) uses an API key, sent as an "Authorization: Token" header. OAuth 2.0 is reserved for official integration partners who have a contract with Housecall Pro. So a custom agent built for your company will almost always run on an API key, not OAuth.
  3. The API key. Only an admin can create one, from My Apps, then API Key Management. You choose full access or read-only. Housecall Pro warns that sharing a key gives the developer access to all of the data in your account, and that deleting a key breaks any integration using it. Start an agent on a read-only key and issue a full-access key only when it needs to write notes back.
  4. Webhooks. An admin turns on the Webhooks app, enters the agent's URL and picks events. The help article says Housecall Pro then returns a signing secret. The webhook docs list events for jobs, appointments, customers, estimates, leads and invoices (for example lead.created, estimate.sent, estimate.option.approval_status_changed, job.completed and invoice.paid). Each event carries Api-Timestamp and Api-Signature headers, and a well-built agent checks that HMAC-SHA256 signature on every message before trusting it.
  5. Rate limits. The docs say requests over the limit get a 429 error with a RateLimit-Reset header, but they don't publish the actual number. Good agents react to events and read only what changed instead of re-reading your whole customer list every hour.

Two things we could not confirm in Housecall Pro's documentation as of November 2026: whether webhook deliveries are retried after a failure, and the exact request limit. Because of the first, we pair webhooks with a scheduled check that catches anything missed.

Connecting ChatGPT or Zapier to Housecall Pro

We didn't find a native ChatGPT or Claude connector, or an official MCP server, in Housecall Pro's documentation. Third-party connectors exist, and they work by holding your API key, so treat them like any developer you hand that key to.

Zapier is the other path. Housecall Pro's Zapier article lists two triggers (Job Scheduled and Job Finished) and one action (Create New Customer), with the full event list available only through webhooks on Max plus a premium Zapier account. That article says the basic Zapier integration works on Essentials and up, while the pricing page lists Zapier as a Max feature, so confirm with Housecall Pro before you plan around it. Zapier is fine for one step, like posting finished jobs into a team chat. It gets fragile once you need memory, judgment across systems or an approval queue.

Setup steps and what you need

  • A Housecall Pro Max plan, and an admin login to create the API key and turn on webhooks.
  • A short list of the two or three jobs you want handled, in order. For most shops that's lead response or stalled estimates first.
  • A decision on Pipeline: which follow-ups stay with Housecall Pro's automations and which move to the agent, so customers don't hear from you twice.
  • Access to the other systems involved: phone provider, QuickBooks, ad accounts if you want them in the morning report.
  • One person per agent who approves drafts for the first few weeks.

Expect the first agent to run with a person approving every draft. Loosen that only after you've read enough drafts to trust it.

Limits and risks

  • The key is the whole account. Housecall Pro's API key has two settings, full access or read-only, and no finer scopes we could find. Use read-only wherever possible, give each agent its own key, and delete keys you no longer use.
  • Two systems following up. If Pipeline resends an estimate three times and an agent also follows up, the customer hears from you six times. Pick one owner per stage.
  • No vendor support for custom builds. Housecall Pro says it can't build or maintain custom integrations made with API keys and doesn't offer dedicated support on API requests. Whoever builds your agent owns keeping it running, which is the reason for managed AI operations.
  • No partner badge. Housecall Pro's docs say integrators can't claim to be endorsed by or affiliated with Housecall Pro without written permission. Anyone pitching an "official Housecall Pro AI partner" product should be able to show that.
  • Mistakes. Housecall Pro's own help pages say AI responses may not always be helpful. The same is true of any agent. Pricing, discounts and promises to customers stay with a person.

How this compares to Jobber and ServiceTitan

The pattern is the same across field service platforms; the plumbing differs. Jobber uses OAuth and a GraphQL API with ID-only webhooks, covered in our Jobber AI guide. ServiceTitan uses a developer portal, an app you register and OAuth credentials an admin generates, covered in the ServiceTitan AI guide. Housecall Pro is the simplest of the three to connect, a single key and full-record webhooks, but it's also the one where the key carries the most access. If your money questions really live in your books, read the QuickBooks AI guide too.

Where Cortex fits

Cortex builds AI agents that work inside Housecall Pro and the other software you run. Each agent has one job, its own key with the least access that job needs, and a person approving anything that leaves the building. We are not a Housecall Pro partner or a listed App Store integration, and we'll tell you when Pipeline and CSR AI are enough. See which systems we connect on integrations, and how this works for HVAC and plumbing companies.

The free AI Operations Audit looks at your Housecall Pro account, phones and books in 30 minutes and tells you which job to hand an agent first.

Questions operators ask

Does Housecall Pro have AI built in?

Yes. As of November 2026 every Housecall Pro plan includes the AI Team: Analyst AI for reports, Coach AI for business guidance, Marketing AI for copy, Help AI for product questions, and CSR AI for website chat. CSR AI's 24/7 call answering is a paid add-on. These work inside Housecall Pro; they don't look across your other systems.

Which Housecall Pro plan includes API access?

Only Max. Housecall Pro's API overview says the API is available only to Pros on a Max plan, and its webhook article says webhooks are Max-only as well. As of November 2026 the pricing page lists Max at $299 a month billed annually.

How does an AI agent authenticate with Housecall Pro?

A custom agent uses an API key that a Housecall Pro admin creates under API Key Management, set to full access or read-only, and sends it in an Authorization: Token header. OAuth 2.0 is reserved for official integration partners under contract with Housecall Pro.

Can ChatGPT connect to my Housecall Pro account?

We found no native ChatGPT connector or official MCP server in Housecall Pro's documentation. Third-party connectors exist and work by holding your API key, or a custom app can pull Housecall Pro data and pass only what's needed to a model.

Will an AI agent conflict with Pipeline's estimate follow-ups?

It can if both are on for the same estimates. Pipeline resends an estimate up to three times and then declines it. Decide who owns each stage, for example Pipeline's automatic resends for small jobs and the agent's personal follow-up for high-value replacements.

Is it safe to give an AI agent a Housecall Pro API key?

It can be if the key is read-only wherever possible, each agent has its own key, a person approves anything sent to customers, and the agent verifies webhook signatures. Housecall Pro warns that a key exposes all of the account's data, so only give one to a developer you trust, and delete it to cut off access.
